A Guide to the PurplePort Calendar

The PurplePort Calendar allows you to keep track of when you are free to shoot, busy with something else, booked on a shoot, or away (amongst other things).

To view your calendar, go to the purple cog (top right) and click My calendar.

Using calendar bookings

Options you can set on your calendar are:

  • Available
  • Unavailable
  • Away
  • Away & Available
  • Unconfirmed Booking
  • Part-confirmed Booking
  • Booked

Note: A booking will remain Unconfirmed or Part-confirmed if one or more members invited to the booking have not accepted the booking.

Create a booking

To add a shoot to your calendar:

  • Go to the purple cog (top right) and click My calendar 
  • Select the date you want to book the shoot for
  • Click Add a shoot and enter your shoot details (e.g. time for the shoot, a description, the name of the member (or members) involved in the shoot, etc.)
  • Click Add shoot to save the booking

Anyone you add to the booking will get notified, and they can Accept the shoot or Reject it (you will be notified which option they choose).

You'll get notified when someone adds you to a booking using their calendar, and you can Accept the shoot or Reject the booking.

Edit a booking

If you create a booking in your calendar, you can edit the details:

  • Click the date of the booking
  • Click Edit shoot  
  • Change the relevant details
  • Click Update shoot (or Cancel if you don’t want to make any changes)

When you accept a booking from another member to your calendar, you cannot edit the details of the booking.

Delete a booking

You can delete any bookings from your own calendar:

  • Click the date of the booking
  • Click Delete shoot

All members added to the booking will be notified that you have deleted it from your calendar.

Stay notified of calendar bookings

You can stay notified about bookings in your calendar either onsite (from the notification bubble), by email, or both.

Accept/Reject notifications

If someone books a shoot with you using the calendar, you can be notified either onsite (from the notification bubble), by email, or both. You can either Accept the shoot or Reject the shoot via either of these notifications.

If you book a shoot with someone and they either Accept the shoot or Reject the shoot, you can get notified of this either onsite (from the notification bubble), by email, or both.

Other notifications

PurplePort can remind you about shoots booked into your calendar before and after they are due:

  • Go to the notification bubble (top left)
  • Click Customise 
  • Enable Next day shoot reminder to get notified the day before your shoot 
  • Enable Day after shoot reminder to get notified the day after your shoot 

We'll send you an onsite notification when someone accepts or deletes a booking arranged between you in the calendar.

We'll also notify you (either onsite (from the notification bubble), by email, or both) when someone adds you to a booking in their calendar or they Accept the shoot or Reject the shoot on your booking.

Set your availability

You can let other members know when you are available last minute or generally available on a regular basis (e.g. Wednesday evenings, Saturday mornings, etc).

Immediate (last minute) availability

You can use Last Minute Availability to let others know if you are available to shoot last minute at any time over the next few days. You can choose from any (or all) of the following options:

  • I am available today
  • I am available tomorrow
  • I am available the day after tomorrow

To set your immediate availability:

  • Click  (top right of your calendar)
  • Select any (or all) of the options
  • Click Save (or Close if you don’t want to make any changes

This availability won’t show up on your calendar but will appear at the top of your portfolio as well as beneath replies you make in group posts. You won’t see this, but other members will, and it will help your fellow creatives know that you're looking to work.

General availability

Use this option to mark regular times on your calendar when you are always available or never available:

  • Click My Availability  (top right of calendar)
  • Mark when you are regularly available (or unavailable) by clicking a box to change its colour (green means you are available, and grey means unavailable)
  • Click Update my availability 

Any days you are not available at any time get marked as Unavailable on your calendar.

Days you are free (even if you are only free for an hour) are marked as Available, and the actual times you are available for will be shown when hovering over the date.

Add an away notice

Creating an away notice means anyone viewing your portfolio or messaging you will know you might not be able to respond.

You can state how long you are away, the location you will be in, and if you are still available to shoot whilst you are away. You can also add any other information about your away notice that you want others to know about.

To add an away notice:

  • Click on the date you are away from
  • Click Add an away notice
  • Enter details about your away notice
  • Click Add away notice (or Close if you don’t want to make any changes

To remove an away notice, click the date of the away notice and then Remove away notice.  

Show/hide your calendar

By default, your calendar will be shown on your portfolio, but you can choose to hide it so only you can see it. This option will mean that no one can view your calendar (even if you provide someone with a direct link to your calendar).

To hide your calendar on your portfolio page:

  • Go to the purple cog (top right) and click My calendar 
  • Go to the grey cog (top right of your calendar)
  • Untick Show a calendar gadget on my portfolio page

You can show your calendar on your portfolio page again by ticking Show a calendar gadget on my portfolio page.
